Enterprise Technology Services [ETS] Finance is a strategic partner to ETS, responsible for enabling innovation, driving growth, and delivering on the company's commitment to provide the world's best customer experience every day. Our team is seeking a full-time Executive Assistant to support the ETS Finance leadership team, including the Vice President & CFO. Based in New York City, this hybrid role offers the opportunity to work both virtually and on-site at the Amex Tower. The Executive Assistant will provide proactive executive and operational support in a dynamic, fast-paced environment while helping leaders stay focused on strategic priorities and business objectives.

The ideal candidate will be flexible, able to exercise discretion and independent judgement while interacting with colleagues across levels and around the globe.

Responsibilities

  • Manage complex executive calendars with a high level of autonomy, leveraging a deep understanding of leadership priorities, preferences, and business objectives

  • Partner closely with senior leadership offices to coordinate schedules, anticipate needs, and enable seamless executive support across the organization

  • Proactively manage and optimize executive calendars by identifying potential conflicts, coordinating schedule adjustments, and partnering closely with peer Executive Assistants to ensure seamless alignment across leadership teams and business priorities

  • Keep the team organized by maintaining organizational charts across Technology / Finance departmental distribution lists, and other critical support tasks

  • Serve as a trusted point of contact for internal and external communications and become a resource for the team; assist colleagues with process related questions

  • Book domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries; anticipate and manage travel changes as needed while ensuring seamless logistics and trip planning.

  • Support leaders with timely expense reporting and corporate card reconciliation, maintaining accuracy and compliance with company policies

  • Leverage approved AI-enabled tools and digital capabilities to drive productivity, streamline administrative operations, and enhance executive support

  • Continuously identify and implement process improvements that simplify ways of working, increase efficiency, and deliver an exceptional experience for executives and colleagues alike.

  • Work closely with Chief of Staff to plan and coordinate team events, including but not limited to, social, learning and development, recognition, and colleague engagement activities

Qualifications

  • 3+ years of supporting senior leaders, Vice President level or above preferred

  • Proven expertise in administrative or operational roles, with knowledge of best practices

  • Strong attention to detail, particularly as it pertains to scheduling

  • Established track record of juggling multiple day-to-day responsibilities of an executive office concurrently, anticipating the needs of the leadership team, and prioritizing appropriately

  • Demonstrated ability to communicate effectively with leaders of all levels and the ability to handle confidential or sensitive information with both integrity and discretion

  • Solid track record of staying in control of a complex workload, remaining calm under pressure, and operating with a sense of urgency when required

  • High levels of proficiency with the MS Office suite [e.g., Outlook, Excel, Word, PowerPoint]

  • Knowledge of platforms, including Teams, Ariba, Amazon Business, Concur, and Qualtrics preferred
